Office Management Director

Directs and coordinates activities of personnel involved in performing internal operations in department, plant or branch office. Prepares work schedules and assigns duties to operations personnel to ensure efficient operation of department or branch. Typically reports to Administrative Top Officer and supervises Office Manager.: Audits accounts, records of proof, and certifications to ensure compliance of workers with established standard procedures and practices. Compiles required and special reports on operating functions of department or branch. Interviews, selects, and hires new employees. Directs employee training to improve efficiency and ensure conformance with standard procedures and practices. Conducts staff meetings of operations personnel, or confers with subordinate personnel to discuss operational problems or explain procedural changes or practices. May be designated according to type of financial operations supervised.

Manager Office

Organizes office operations and procedures, such as word processing, bookkeeping, preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other clerical services. Coordinates activities of various clerical departments or workers within department. Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow. Establishes uniform correspondence procedures and style practices. Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records. This position is similar to an Office Supervisor, but scope of unit supervised typically involves a larger number of employees and more varied office activities. Position requires experience in the classifications managed along with completion of high school and college courses in the areas managed.: Plans office layouts and initiates cost reduction programs. Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness. Prepares activities reports for guidance of management. Prepares employee ratings and conducts employee benefit and insurance programs. May prepare organizational budget and monthly financial reports. May hire and train clerical staff. May compile, store, and retrieve managerial data.

Office Nurse

Provides care for and treats patients in medical office, as directed by physician. Prepares patient for and assists with examinations. Administers injections and medications, dresses wounds and incisions, interprets physician's instructions to patients, assists with emergency and minor surgery, and performs related tasks as directed. Requires RN license.: Maintains records of vital statistics and other pertinent data of patient. Cleans and sterilizes instruments and equipment, and maintains stock of supplies. May conduct specified laboratory tests. May record and develop electrocardiograms. May act as receptionist, perform secretarial duties, and prepare monthly statements.

Food Fast Food Cook

Prepares and cooks to order foods requiring short preparation time. Reads food order or receives verbal instructions as to food required by patron, and prepares and cooks food according to instructions.: Prepares sandwiches. Prepares salads and slices meats and cheese, using slicing machine. Cleans work area and food preparation equipment. May prepare beverages. May serve meals to patrons over counter.

Receptionist Front Office Assistant

Greets and receives visitors at establishment, determines nature of business, and directs visitors to destination. Obtains visitor's name and announces visitor's arrival to appropriate person. Answers, screens, and routes incoming calls and takes messages as needed. Types memos, correspondence, reports, and other documents and assists with other administrative projects. : Maintains reception area in neat and orderly condition. Assists visitors and staff with questions and information. May issue visitor's pass when required. May operate telephone console to receive incoming messages. May make future appointments. May perform variety of clerical duties and other duties pertinent to type of establishment. May collect and distribute mail and messages.

Food Services Coordinator

Supervises and coordinates activities of workers engaged in preparing, cooking, and serving food in school cafeteria, cafeterias, or central school district kitchen: plans varied menus to ensure that food is appetizing and nutritionally suitable for children. Estimates daily or weekly needs and orders food supplies and equipment. Supervises and coordinates activities of workers who prepare, cook, serve food, clean premises, and wash dishware. Keeps daily record of meals served and takes inventory of supplies and equipment. Trains new employees. Participates in preparing and cooking meals. May direct activities of students engaged in washing dishes and utensils.

Office Coordinator

Coordinates and maintains an efficient office operation and performs responsible administrative duties of a complex and confidential nature in support of office activities to relieve the Office Manager of various administrative responsibilities. Assists Office Manager with work overflow as needed. Ensures accurate maintenance of office records, manuals, and documents, keeping abreast of new policies and procedures. Interprets new directives, policies, and regulations and informs appropriate personnel of changes. Coordinates office functions such as staffing, training, scheduling, personnel, supplies, equipment maintenance, repairs, and renovations.: Assists Office Manager in planning and implementing office development based on knowledge of current office operations. Assists in developing protocols and maintaining quality customer service. Coordinates and assists with the catering of meetings for various departments. Maintains faxes, copiers, and printers and orders respective supplies and maintenance. Resolves office problems independently and facilitates solutions; confers with Manager to resolve more complex situations. Assists in the preparation of complex and diversified office and special budgets, making recommendations and projections based on knowledge of program activities and office operations. Verifies and reconciles expenditures of budgeted funds and develops cost comparisons. Prepares and processes financial documents; prepares, compiles, and analyzes complex reports, proposals, and documents such as financial and monthly reports and personnel records. Researches and makes recommendations for the purchase of office equipment and orders office equipment and supplies. Recommends various personnel actions such as hiring, performance appraisals, and promotions.

Client Service Coordinator

Coordinates and evaluates client services and departmental marketing, customer relationship management, and outreach strategies. Drives the flow of company or department, maximizes the productivity of the work team, ensures good communication with team members and clients, and coordinates the care of clients. Recruits new clients by promoting client products or services.: Provides support to advisors and/or qualifying managers. Sets up client appointments, as necessary, creates appointment/meeting agendas, and composes meeting summaries. Manages all aspects of client marketing projects, including training, support, and implementation. Works proactively with clients and company/department to help solve problems. Educates clients about company products or services. Prepares and submits event marketing compliance documentation and assists in preparing for events. Establishes and maintains client communication and builds strong relationships. May conduct administrative functions as necessary.
