Catering Director Event Planner

Directs, coordinates, and arranges for meetings and special events of various sizes. Plans logistics and negotiates contract(s) for conferences, and/or events with respect to budgets, speakers, entertainment, transportation, facilities, technology, equipment, printing, food and beverage, and other related issues. Plans catering functions with clients, supplying food and other services as agreed by the parties, and hires, trains, and supervises all staff in carrying out the event smoothly. Works with all-day group and banquet businesses to include weddings, rehearsal dinners, luncheons, dinners, receptions, dances, anniversary events, business and club meetings, family reunions, holiday parties, and all meetings and food functions. Coordinates all aspects of planning, which may include soliciting, booking, planning, and coordinating all associated events.: Negotiates terms, executes, and administers contracts with facilities vendors for service, in accordance with budget constraints and company policies and procedures. Designs and prepares various marketing materials, to include brochures and flyers, for meetings and conferences. Serves as the primary contact between contractors, clients, organizers, and organization operations to ensure smooth execution of all functions supporting the programs and events. Meets with clients to discuss their requirements for the event, such as number of guests and appropriate size of room, and offers menu choices and costs. Draws up contracts with clients covering all prior agreements. Directs event administrative requirements and logistics by developing and adhering to event contracts and confirmation agreements. Communicates requirements in advance to appropriate departments or outside vendors and follows up to ensure that corporate standards of quality and service are met. Maintains close working relationships with catering event hosts, and follows up with event hosts to ensure satisfaction and to maximize referrals. Ensures that catering areas are clean and that food is handled in a safe and sanitary manner in accordance with all regulations. Keeps accurate records of all costs. Presents bill to client and collects payment according to terms of contract. Attends to any problems that may arise during event or any complaints concerning food or services provided.

Ticket Manager (Sports Event)

Manages the daily operations of a box office, ticket operations, and guest services in order to promote maximum productivity and efficiency in the handling of all customer inquiries. Oversees and schedules full-time and seasonal ticket office agents, ticket stubbers, will call agents, and guest services center representatives.: Coordinates installation of guest services center tents. Compiles weekly ticket reports for management. Ensures fulfillment of ticket orders for individuals, groups, buses, hospitality promotions, etc. Assigns hospitality customer tickets within a 24-hour time frame. Ensures renewals and upgrades are processed in a timely fashion. Ensures performance standards of guest services center are implemented. Ensures that ticketing timelines are developed and followed. Accounts for ticket processing including opening batches, reconciling batches, preparing deposits, and reconciling credit card processing. Assists Director of Ticketing Sales and Operations in design of forms and tickets. Maintains a working knowledge of website strategies and e-commerce solutions. Tracks, measures, and reports results of all sales/promotional efforts. Implements an annual customer service survey of all MMP ticket buyers, sponsors, and hospitality clients. Collaborates with Promotions Manager to assign promotional tickets. Streamlines operation through cross training and development of staff. Prepares and administers regular performance evaluations for all seasonal staff.

Media Planner

Coordinates development of plan that describes how advertising time and space will be used to support client's marketing objectives: Confers with clients to review their marketing objectives to reach customers through use of communications media, such as newspapers, magazines, radio, and television. Discusses information with client, including customer buying preferences or services to be advertised, demographic information on customers, and advertising budget. Coordinates development of media plan with MEDIA BUYER (business ser.) 162.117-034 and other in-house staff, including research, account services, and creative departments. Determines necessary types of information to include in media plan which describes how selected advertising media will meet client's needs. *Reviews, with staff, goal of media plan to find and describe media audiences that possess characteristics similar to target consumer groups. Develops media plan, including media budget, selection of communication media, time frame for running ads, identification of consumers for product or service, and identification of demographic characteristics of consumers, such as age, sex, income, and geographical location. Reviews statistical data and research reports on consumers, different geographical markets, sales, and product competitors. Determines whether more than one type of medium is desirable in media plan. Determines which media type within given periods of time will be used to expose targeted consumers to advertising message, according to research and knowledge gained from past experience. Ensures that critical factors are described in media plan. Ensures that words, color, audio, and visual of advertising message compliment media selection. Presents media plan to client and responds to questions and modifications desired by client. Negotiates agreement on media plan items, such as target audience, type of media to be used, and final advertising budget. Sends approved media plan to media buying department with specifications, such as what media are to be purchased, time frame of advertising campaign, and budget. Monitors implementation of buying plan. Modifies media plan when changes will result in better opportunity to achieve marketing goals. Ensures that purchased time and space are delivered as agreed. Monitors advertising budget. Audits reports of media activities, such as number of spots, and gross rating points. Meets with media representatives and attends trade shows. Reads communication industry and national news publications to maintain awareness of current promotions, changes in technology, and issues of public interest. May perform duties of MEDIA BUYER (business ser.) 162.117-034 in small establishments.

Merchandise Planner

Plans and allocates merchandise to stores to accomplish an optimum balance of inventory. Ensures the accuracy and execution of all store plans and merchandise allocations. : Develops and updates store plans that link to product plans. Builds store profiles. Utilizes attributes to group stores, such as sales volume, region, location type, and climate. Analyzes history and current sales trends to enhance the allocation methodology. Coordinates allocation of merchandise with Product Planner and Buyers and proactively communicates unit needs. Identifies additional inventory balance needs and issues store redistribution recommendations in collaboration with Buyers. Develops and monitors initial and ongoing allocations for new and remodeled stores. Prepares and reports regular sales, gross profit, and inventory plans and forecasts. Assists Buyers in the development and refinement of assortment plans based on store group profiles. Recommend SKU amendments.

Event Sales Representative

Sells private party and corporate functions, growing the client database through networking, and working with an operations staff to ensure the quality experience of every event. Makes and/or takes potential customer calls, sells event space, rooms, stages, tables, chairs, lighting, portable walls, power cords, food and beverage, etc. Follows up with clients on details and payment issues.: Directs, coordinates, and arranges, or assists in directing, coordinating, and arranging for meetings and special events of various sizes. Negotiates contract(s) and assists in planning logistics for conferences, and/or events with respect to budgets, speakers, entertainment, transportation, facilities, technology, equipment, printing, food and beverage, and other related issues. Distributes necessary paperwork to all designated areas to ensure quality experience. Handles any challenges and problems promptly and to the client’s satisfaction. Follows all standard policies and procedures in handling reservations. Performs all promotional plans as directed by management. Develops and improves sales skills through internal and external sources. Works to increase the client database through outside sales efforts, direct mail, phone calls, and networking with local community organizations and associations. Maintains regular contact with current client base. May work the hosted events for purpose of networking and assuring customer satisfaction. May represent company at trade shows and other community events. May plan seating arrangements and maintain comment cards.

Facilities Planner

Plans utilization of space and facilities for unit or business establishment consistent with requirements of organizational efficiency and available facilities and funds. Work is generally technical in nature but excludes positions that require a four-year degree in engineering.: Inspects buildings and office areas to evaluate suitability for occupancy, considering such factors as air circulation, lighting, location, and size. Measures or directs workers engaged in measurement of facilities to determine total square footage available for occupancy. Computes square footage available for each member of staff to determine whether minimum space restrictions can be met. Draws design layout, showing location of furniture, equipment, doorways, electrical and telephone outlets, and other facilities. May review real estate contracts for compliance with government specifications and suitability for occupancy of employing agency. May direct workers engaged in moving furniture and equipment and preparing facilities for occupancy.

Special Events Manager

Coordinates and arranges for meetings and special events of various sizes.
