Manager Accounts Payable

Manages and coordinates activities required to ensure an accurate accounts payable system. Develops and recommends policy and procedure to govern the payment of company bills to the advantage of the organization in terms of cash flow and discounts. Plans, schedules, and directs the work of the accounts payable unit of an organization. The manager level is typically the second level of management and may have first level supervisors reporting to this position; however, in smaller organizations the manager may directly manage subordinate staff.: Manages the investigations of amounts due from the company for goods and services purchased. Establishes policies and procedures to improve the efficiency of the accounts payable department. Interprets company policy to supervisors and employees and enforces company policy and practices. Prepares reports on the status of payables. Determines the amount of credit to be extended and recommends amount of working capital necessary to finance accounts payable. Manages maintenance of accounts payable ledger. Manages adjustment of customer claims. Conducts or participates in special studies of economic conditions in particular industries. May recruit, hire, train staff, evaluate employee performance, and recommend or initiate promotions, transfers, and disciplinary action.

Manager Accounts Receivable

Manages and coordinates activities required to ensure an accurate accounts receivable system. Responsible for accounts receivable activities involving tracing sources of error, correcting billing records, processing final billings, reconciling errors, accuracy of charges on customer's bills, investigating, granting, and controlling credit, and in collecting accounts due, maintenance of accounts receivable ledger, and adjustment of customer claims. Monitors accounts receivable records, including claims and overdue invoices. The manager level is typically the second level of management and may have first level supervisors reporting to this position; however, in smaller organizations the manager may be a first level supervisor over subordinate staff.: Establishes and implements collection procedures. Prepares report on the status of credit and collections and other operating statements. Determines the amount of credit to be extended and recommends amount of working capital necessary to finance accounts receivable and to provide reserves against bad debts. Participates in credit groups in bankruptcy actions. Investigates credit standing of new customers, arranges terms of payment, and follows up on collection of accounts. Aids customers in obtaining financial assistance. Conducts or participates in special studies of economic conditions in particular industries. Visits existing and potential customers to investigate credit and collection matters and to foster good credit relationships between customer and company.

Past Due Accounts Clerk

Notifies or locates customers with delinquent accounts, attempts to secure payment, and reports payments. Prepares and mails form letters to customers to encourage payment of delinquent accounts. Confers with customer by telephone in attempt to determine reason for overdue payment, reviewing terms of sales, service, or credit contract with customer. Calls customers who do not reply to letters.: Helps secure information regarding customer's financial status or insurance coverage. Provides appropriate information to billing staff or credit department. Records information about financial status of customer and status of collection efforts. May order repossession or service disconnection, or turn over account to attorney. May sort and file correspondence. May receive payments and post amount paid to customer account and notify collection agency of amounts received. May adjust for incorrect credit charges and grant extension of credit. May provide customer credit information or rating on request. May compute interest and payments. May use automated telephone dialing system to contact customers and computer to record customer account information. May void sales tickets for unclaimed COD and lay-away merchandise. May trace customer to new address by inquiring at post office or by questioning neighbors.

Director Cost Accounting

Plans, directs and gives necessary supervision to cost accounting activities. Installs cost control procedures and provides staff supervision over cost systems and methods. Typically reports to Financial Top Officer and Cost Accounting Manager reports to this position.: Supervises the compilation of periodic statements of product cost and prepares appropriate operating reports. Follows up expenditures of appropriations and supervises the assembly of data and comparisons of various budget items. Prepares cost analysis for use in contract adjustments. Reviews completed product manufacturing costs and reviews and analyzes unit costs of finished products. Conducts special cost studies for use in setting selling prices and establishes inventory prices for in-process and finished products. Studies economy for various projects and programs. Prepares profit and loss statements for individual products. Supervises the maintenance of inventory records of products and directs other statistical and tabulating services. Develops or improves methods of calculating and controlling costs. Compiles cost data for use in developing operating budgets. Directs cost audits and their interpretation that will assist management in directing and controlling operations.

Accounting Coordinator

Oversees and coordinates financial and accounting functions within one or more large departments, including daily deposits, verifying all orders and invoices, verifying journal entries, and processing chargebacks. Performs program evaluation and organizational analysis, monitors procedures and methods, prepares oral and written presentation findings and recommends action, and provides project management expertise to coordinate and implement department projects.: Participates in the formulation and administration of accounting and auditing policies and procedures. Develops, evaluates, and implements internal controls. Devises systems to improve the company's fiscal management capabilities and/or compliance with Federal, State, and local ordinances or guidelines. Performs research studies, feasibility studies, benchmarking studies, needs assessments, cost/benefit analysis, cross impact analysis, and management studies. Coordinates clerical staff efforts in preparation of periodic reports such as the annual financial report, financial trends, grant, investment, or other operational reports required to gauge operational efficiency and/or compliance with Federal, State, and local ordinances or guidelines. Verifies accuracy of data processing for accounting information. Provides accounting advice, answers non-routine verbal and written inquiries about accounts payable, and trains other employees with account and accounting responsibilities. Reconciles budget and expense statements with departmental accounts. Assists with special accounting projects. Prepares summary reports of accounts supervised.

Supervisor Accounts Receivable

Supervises and coordinates accounts receivable activities, ensuring an accurate accounts receivable system. Prepares work schedules, assigns duties, and examines work for accuracy, neatness, and conformance to policies. Responsible for accuracy and corrections to customer accounts, reconciliation of revenue accounts, general journal entries, generating invoices and posting sales, verification of deposits, and postings to accounts receivable. Analyzes and resolves work problems, or assist employees in solving work problems. This position is typically a first line supervisor.: Interprets work procedures for subordinates. Confers with subordinates to resolve procedural problems in tracing sources of error. Directs workers in preparing work orders for data inputting process. Supervises employees engaged in tracing sources of error, correcting billing records, and in processing records for advance or final billings. Reviews and corrects customer accounts to determine amounts over or under paid. Prepares corrected bills to reconcile errors. Traces source and corrects customer accounts for errors in billing rates, misapplied credits, or identifying information, such as name and address received from customer. Confers with employees of other departments to trace payments on bills under investigation by collection department and to give information pertaining to accuracy of charges on customer's bills.
